Terms and Conditions of Hire

1. Definitions

“Company” means SN Luxury Car Hire Ltd.

“Hirer” means the person or business hiring the vehicle.

“Vehicle” means the car or any replacement vehicle provided under the hire agreement.

“Driver” means the person(s) authorised by the Company to drive the vehicle.

“Hire Period” means the duration of the booking, as confirmed in writing by the Company.

2. Eligibility and Driver Requirements

The minimum age for self-drive hire is 25 years; the maximum age is 70 years.

All drivers must hold a full valid UK or international driving licence for at least two years.

For UK licence holders, both the photo card and a DVLA licence check code must be provided.

International licence holders must present a valid passport and proof of UK residence.

The Company reserves the right to refuse hire to any person without reason.

3. Identification and Security Deposit

The Hirer must provide two proofs of address (utility bill, bank statement, etc.) dated within the last 90 days, along with a valid driving licence.

A security deposit is required before the Vehicle is released.

Standard deposit: which is the same value of the booking (depending on vehicle).

Deposits are held against damage, fines, penalties, late return, or breach of contract.

Deposits are refundable within 7 working days after the Vehicle is returned in the same condition as at collection.

4. Insurance and Liability

All Vehicles are covered under SN Luxury Car Hire Ltd’s fleet insurance policy.

Only approved drivers named in the rental agreement are insured to drive.

The Hirer is fully liable for:

Any damage, theft, or loss of the Vehicle during the hire period (including keys, parts, or accessories).

Any insurance excess, as stated in the rental agreement.

Misuse, negligence, or breach of the terms of hire.

The Hirer remains responsible for all parking fines, speeding tickets, toll charges, and congestion charges incurred during the hire period.

5. Vehicle Condition and Use

Vehicles are provided in clean and roadworthy condition.

The Hirer must return the Vehicle in the same condition (clean inside and out).

Smoking, vaping, and the use of drugs inside the Vehicle are strictly prohibited.

Eating or drinking inside the Vehicle is discouraged to avoid damage or stains.

The Vehicle must not be used for:

Racing, rallying, off-road use, or track days.

Towing or transporting goods or people for hire or reward.

Driving outside the United Kingdom without prior written consent.

Mileage limits may apply depending on the booking type; excess mileage will be charged at the rate specified in the hire agreement.

6. Chauffeur-Driven Hire

When booking a chauffeur-driven service, only drivers employed or approved by the Company may operate the Vehicle.

The Hirer must provide accurate collection and drop-off details.

Waiting time beyond the agreed schedule may incur additional charges.

The Company will not be liable for delays caused by traffic, weather, or unforeseen circumstances.

7. Payment and Cancellations

A booking deposit (non-refundable) of 10% is required to secure any reservation.

Full balance is due 48 hours before collection or event date, unless otherwise agreed.

Cancellation policy:

7+ days before hire: refund minus booking deposit.

3–6 days before hire: 50% of total hire fee payable.

48 hours or less: 100% of hire fee payable.

All refunds are subject to processing fees where applicable.

8. Breakdown and Replacement

In the event of a breakdown, the Company will make every reasonable effort to provide a replacement vehicle of similar class.

If a replacement cannot be provided, the Company’s liability is limited to a refund of the unused hire period.

The Company is not liable for any indirect or consequential losses, such as missed events, travel costs, or accommodation expenses.

9. Accidents, Damage and Theft

In the event of an accident, theft, or damage:

Notify the Company immediately.

Obtain names, addresses, and insurance details of all involved parties.

Report any theft or vandalism to the police and obtain a crime reference number.

Do not admit liability or make any offer of settlement.

The Hirer remains responsible for all repair costs up to the insurance excess and for any loss not covered by insurance (e.g. negligence, unauthorised use, tyre/wheel damage, interior stains).

10. Fuel Policy

Vehicles are supplied with a full tank of fuel and must be returned full.

A refueling charge will apply if the Vehicle is returned with less fuel.

11. Late Returns

Late returns without prior notice will incur an additional daily rate charge.

Failure to return the Vehicle within 24 hours of the agreed time may be reported as unauthorised use or vehicle theft.

12. Indemnity

The Hirer agrees to indemnify and hold harmless SN Luxury Car Hire Ltd against all losses, damages, claims, costs, or expenses arising out of the Hirer’s breach of these Terms or unlawful use of the Vehicle.

13. Data Protection

Personal data collected during booking or hire will be processed in accordance with the UK General Data Protection Regulation (GDPR).
The Company will not share personal information with third parties except for insurance, security, or legal purposes.

14. Governing Law

These Terms and Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the Welsh courts.

15. Acceptance

By signing the rental agreement or confirming a booking (online or in writing), the Hirer acknowledges that they have read, understood, and agreed to these Terms and Conditions.
